Double bookings in vacation rentals: why they happen and how to avoid them

A double booking (overbooking) means a property has more confirmed bookings for the same dates than it has space. For an apartment or house, that is two bookings for the same night; for a hotel, more guests than free rooms of the right type. It happens most often to those who sell on several channels at once: the more sales channels, the higher the risk that the same period is bought twice.

Why double bookings happen

Channel calendars update with a delay. Calendar sync between channels usually runs on a schedule, every few minutes or every half hour. If two guests book the same dates within that window, both bookings are accepted.

Dates are blocked by hand. When the owner marks occupancy in each channel’s dashboard by hand, one slip is enough to leave a period open for sale.

Direct bookings do not make it into the shared calendar. A guest calls or messages, the manager agrees the stay but forgets to enter the booking. For the channels, those dates are still free.

Date changes. Extending a stay or moving a check-in changes occupancy, and the new dates also need to be blocked on every channel.

Several staff members without shared rules. If different people confirm bookings and each looks at a different source, overlaps are inevitable.

What a double booking costs the owner

  • Cancelling one of the bookings. Channels usually take owner-initiated cancellations into account in listing rankings, and some of them impose penalties.
  • Lost revenue and compensation costs: refunding the prepayment and covering the price difference when relocating a guest.
  • A negative review that lowers trust in the property on every channel.
  • Extra pressure on the team: finding an alternative at short notice, talking to the guest and checking calendars.

How to avoid overbooking

1. One calendar for all bookings. All bookings, from channels and direct, should live in one booking calendar. It becomes the main source of occupancy data, and the channels take their availability from it.

2. Automatic channel sync. A channel manager blocks a new booking’s dates on the other channels with no human involved. It is worth knowing which type of connection is used: a direct API connection exchanges data more often and transfers the full booking, while calendar sync transfers only occupied dates and updates less often.

3. Direct bookings go into the system right away. A phone booking goes into the calendar the moment you agree with the guest, not after payment: the dates are blocked at once, even if no prepayment has been made yet.

4. Overlap checks. Your booking system should not let you save two bookings for the same dates in one property. If an overlap does come in from a channel, it should be flagged for review.

5. Rules for the team. Decide who confirms bookings and where they are entered. Each team member works only with the properties they are responsible for.

6. Attention to changes. Extensions, moves and cancellations change occupancy. Changes are made in the shared calendar so they reach every channel.

What to do if a double booking happens anyway

  1. Work out which booking came first and contact the second guest straight away.
  2. Offer an equivalent or better property for the same dates. Moving a booking to another property in the calendar takes a few seconds.
  3. If there is no alternative, refund the prepayment and apologise.
  4. Find the cause: a sync delay, a manual mistake or a direct booking that was never entered. That tells you what to change in your process.

How Glavbook protects against double bookings

Glavbook collects bookings from every connected channel and direct guest enquiries in one booking calendar. A new booking’s dates are blocked automatically on the other channels, and the calendar does not allow overlapping bookings in one property.

  • Avito connects directly: bookings arrive in the calendar with guest details and the amount, and exchanges run about every five minutes and right after a booking changes in Glavbook.
  • Sutochno.ru and CIAN connect through calendar sync: Glavbook fetches their calendars every 30 minutes, and the channels refresh the Glavbook calendar on their own schedule.
  • If a channel booking overlaps dates that are already taken, Glavbook does not save the overlap and flags a conflict for a manager to review.
  • Bookings without a prepayment are marked yellow in the calendar and hold the dates just like paid ones, and staff access is limited to their own properties.

FAQ

What is a double booking, in simple terms?

It is when a property accepts more bookings for the same dates than it has space. It usually happens when a property is sold on several channels without a shared calendar.

Can double bookings be ruled out completely?

The risk becomes minimal when all bookings are in one calendar and dates are blocked automatically. A small risk remains in the window between channel calendar updates, so it matters that the system spots overlaps immediately.

Why isn’t calendar sync instant?

Channels publish their calendar at a link, and other services fetch it on a schedule. A direct API connection exchanges data more often, which makes it more reliable for your main channel.
