Calendar sync with Avito, Sutochno.ru and CIAN: how to set it up and what to expect

Avito, Sutochno.ru and CIAN bring most short-term rental bookings in Russia, and many owners list on all three at once. To avoid selling the same dates twice, the channel calendars need to be linked to one shared calendar. Here is how sync works with each channel, how long updates take and what to check during setup.

Why sync calendars

Each channel keeps its own availability calendar. If a booking comes from Avito but the dates stay open on Sutochno.ru and CIAN, another guest can book them. Sync passes occupied dates between calendars automatically, without blocking them by hand in every dashboard.

Two ways to exchange data

Direct API connection. The system exchanges data with the channel directly and receives the full booking: dates, guest and amount. Exchanges are frequent and happen right after changes.

Calendar sync via link (iCal). Each calendar publishes occupied dates at a link, and other services fetch them on a schedule. Only dates are shared, without guest details or amounts. Each side refreshes the other’s calendar on its own schedule.

Read more about the difference in the article “Channel manager: what it is and why you need one”.

Avito: direct connection

Avito connects to Glavbook directly by authorising your Avito account.

  • Each short-term rental listing is linked to a property or room in Glavbook.
  • Bookings and cancellations from Avito appear in the calendar with Avito as the source, the dates and the guest’s details. If Avito shares financial data, the booking card shows the amount, the guest’s prepayment and the channel commission.
  • Occupancy from bookings created in Glavbook is sent back to the listing calendar.
  • The exchange runs about every five minutes and also right after a booking is created, changed or deleted in Glavbook.
  • If the booking dates are already taken on Avito, the interval is not sent and is flagged as a conflict for review.

Do not create bookings by hand that will arrive from Avito automatically, or you will get a duplicate or an availability conflict.

Sutochno.ru: calendar sync

Glavbook exchanges occupied dates with Sutochno.ru via iCal links, separately for each listing. The link is two-way, so there are two links.

  1. Glavbook creates a calendar link for the property. Paste it into the import field on Sutochno.ru: My properties, property settings, Calendar sync.
  2. In the same place on Sutochno.ru, copy the listing’s calendar export link and paste it into Glavbook.

Occupied dates from Sutochno.ru appear in the Glavbook calendar as blocks with iCal as the source, without the guest’s name or amount. Glavbook fetches the channel calendar every 30 minutes. Sutochno.ru refreshes imported calendars on its own schedule: according to its help pages, this can take up to two hours.

CIAN: calendar sync

CIAN works the same way, with iCal links for each listing. The Glavbook link is added to the listing’s booking calendar on CIAN, and the CIAN calendar export link is pasted into Glavbook.

As with Sutochno.ru, occupied dates from CIAN appear in the calendar as blocks without guest details. Glavbook fetches them every 30 minutes, and CIAN decides how often it refreshes on its side.

What to keep in mind with link-based sync

  • Delays in both directions. Time passes between a booking on one channel and the dates being blocked on another, made up of both sides’ schedules. The most reliable data comes from the directly connected channel.
  • Dates only. The link does not carry the guest or the amount. To complete the booking, enter the guest’s details in the booking card by hand.
  • One listing, one property. A link ties a specific listing to a specific property or room. A wrong link blocks dates on the wrong property.
  • Check after setup. After connecting, use the next new booking to confirm its dates were blocked on every channel.
  • Manual sync. If you need fresh data right away, the system can fetch the channel calendar manually without waiting for the schedule.

Setup steps

  1. Connect Avito directly and link listings to properties.
  2. For Sutochno.ru and CIAN, create calendar links in Glavbook for each property and exchange links with the channels.
  3. Compare upcoming bookings across all calendars before the first sync.
  4. Check that a new booking blocks the dates on the other channels.
  5. Watch for conflicts and resolve them straight away.

FAQ

Why does a Sutochno.ru or CIAN booking appear in the calendar without the guest’s name?

iCal link sync carries only occupied dates. The channel does not share guest details through such a link, so the period is shown as a block.

How quickly are dates blocked on Sutochno.ru after an Avito booking?

An Avito booking reaches Glavbook within a few minutes. Sutochno.ru then fetches the Glavbook calendar on its own schedule; according to its help pages, this can take up to two hours.

What should I do if there is a date conflict?

Check the booking in Glavbook and on the channel, find out which booking came first and contact the second guest. The steps are described in the article “Double bookings in vacation rentals”.
